FAQ 8

Q  So How Do We Get Started?

A  Overview : The first task is to control your operations, and define the interactions between your processes, and plan how to make them work effectively, so that each task is conducted in the best way possible, and then to review problems discovered. From here the method can be improved. After that, the next most serious problem can be investigated. And so it goes on. Eventually, you will reach a situation where diminishing returns dictate that you can only make small improvements which are sufficient to keep up with the ever-changing requirements of its customers and legal requirements, etc.

The Stages : To start with, you need to get your system described. There a number of activities which must be controlled by procedures (see "ISO 9000 clauses"). In addition, you must have written instructions where necessary. These can be flowcharts or written instructions, etc, and can be in paper or electronic format or could be samples to be copied (or any other relevant method) but it must be adequate to explain the activities.

However, you must be careful about the level of content. It is no use producing a library full of detailed procedures and instructions if no-one reads them or no-one can understand them. You must also ensure that you address each section of the standard, even if it does not apply (you can only claim exclusions from relevant sections of clause 7).

Next, you must begin the process of planned, regular, independent, systematic quality auditing. This can be conducted by your own in-house staff, but it may be better if it is conducted by a competent outsider. His/her word will carry more weight, as they will have no axe to grind, and should have the benefit of seeing other organisations conducting similar activities. An outside pair of eyes is usually much better at seeing the problems straight away.

Now, you can apply for accreditation by an ISO 9000 certification body.

Be aware: Many organizations "doing-it-themselves" fail on the first attempt.
